Intro

MagneticTime's aim is to provide software applications and utilities to make the attainment of information & knowledge less effort. It does this by using new and novel technologies such as our patent pending 'information to speech' algorithms, and our 'knowledge summarisation' processors & engines. We also seek to make use of readily available technologies and under utilized PC processing power. By making your PC work harder and longer, the attainment of knowledge is made easier and less effort while at the same time providing you with better payback from your computer & software investments.

What It Does

MagneticTime 1, allows you to:

'Listen to your emails, word documents, and your news feeds on your iPod, Mobile Phone or PDA'

For the first time we bring 'everyday' information from the PC desktop to today's most popular portable audio devices, in mp3 format.

Advances in speech technology now mean that the old synthesised 'tin can' voices of the past have been replaced with the new natural sounding voices of the new millennium. Use MT to:

  1. Automatically read your news feeds for you
  2. Listen to the news on your mp3 player
  3. Automatically download your daily emails to your mp3 player of choice
  4. Select Word documents to audioize and take with you
  5. Store your emails, Word documents and news like music
  6. Build your email, document & news 'audio' library, to take with you
  7. Play them now, or any time (or place) in the future
  8. Play them on your PC
  9. No need to delete. Our algorithms ensure minimum space requirements to compliment today's large storage capacities
  10. MT-1 is in English only. Soon MT-2 will also be available in numerous other languages

Note: MT is designed to work with MS Outlook/Express emails and Ms Word documents 'only'. Selecting other types of files will produce unpredictable results.

Installing

The MagneticTime Installer will setup the various components you require for your PC.

Does MT affect my current PC Data or Setups?
No. The download will not uninstall other programs, or change any of your data or settings

What gets installed?
1. The MT Software Installer
2. .Net framework (only installed if not already on your PC)
3. The MT Application
4. Platinum Voice
· Note: our Platinum Voice will require approx. 99mb of disk space. Download times will vary depending on your line connection speed.

How long does it take to complete the Install?
Typical Broadband connections will take about 23mins but download times will vary depending on your line connection speed. You may continue to work during install/download.

Can I download the Software on a standard Dial-Up Connection?
The short answer is yes, however we don't recommend it due to the relatively large size of our Platinum Voice.

What happens if I have both Outlook and Outlook Express installed?
If you have not set a default email client (handler), then MT assumes Outlook as the default.

Preferred Email Client
In MT-Assist 'Settings' this option will only display if you have both Outlook & Outlook Express installed on your PC. MT automatically detects which email software (client) you have selected as your 'default' Should you wish to change the default, use this option to select Outlook Express from the selection box. Note: The Application will need to be closed and restarted for this change to take effect.

What happens if my Anti-Virus software causes a problem during installation?
During the voice install section your virus checker may issue a warning message. If this happens, select the 'allow indefinitely' option.

iPod - I purchased the iPod product but its not there when I launch the MT-Assist application?
MagneticTime requires iTunes to be loaded on your computer for our iPod product to function. Exit the MT-Assist application. Load iTunes on to your PC then re-launch MT-Assist. You will see your iPod icon on the toolbar ready for use.

Using MT

MT is designed to work out of the box. Many hours have been spent simplifying every process to ensure the product is easy to use and intuitive. The result will usually mean you may never change the supplied default settings but if you do you'll find MT extremely flexible and functionally rich.

Note: MT is designed to work with MS Outlook/Express emails and Ms Word documents 'only'. Selecting other types of files will produce unpredictable results.

Getting Started

After you have installed MT1, you will have a new desktop icon which you can use to start MT1. Or you can use the MatneticTime program group in the start menu to start MT1.

The first time you start MT1 you will be asked for your product.

  • If you bough MT1 online then you will have been emailed your product code.
  • If you bough a boxed version of MT1 then your product code will be printed on your CD sleeve.

After you enter your product code, a number of splash screens will be displayed that give you a quick run down of how to work with MT1. After these splash screens, the settings window will be displayed, you can now select from the list of news feeds that we have listed in the Personal Newscaster section. When you have made your selection click 'OK', then you will see the main window of MT1.

Note: If you did not purchase Personal Newscaster you will get a 30 go free trial of it.

Setting up news feeds

To change your news feeds click on the 'Settings' button. This will bring up the settings window.

In the 'News Feeds' section we have grouped feeds for you to select from. Just tick the box beside the feeds that you want. If the feed you want is not list in any of the groups, go to 'Custom Feeds'. In 'Custom Feeds' you can add your own feeds. To add a feed click the 'Add' button. Then enter the feed URL, and click 'Add'.

Importing Word Docs

There are two options for importing a Word document into MT

  1. Open the Word document and export it to MT using our Word toolbar button
  2. Open the MT-Assist user interface, browse for and import the document

Open the Word document and export to MT
Open the document in MS Word and select the MT button from the top toolbar. When completed, a message box will be displayed informing you the document has been successfully imported by MT. The document will be displayed in the Library viewing area in MT-Assist (application)

Import the Word document to MT
Open MT-Assist and select the 'Import a Word Document' link from the Common Tasks menu. In the 'Look in' list, click the drive, or folder that contains the file you want to open. Locate and open the folder that contains the file. Select the document and click 'Open'. The document will be displayed in the Library list in MT.

Note: MT is designed to work with Ms Word documents 'only'. Selecting other types of files will produce unpredictable results.

Importing Emails

There are two options for importing emails into MT

  1. Open Outlook or Outlook Express and export to MT
  2. Open the MT-Assist application and import the email

Using Outlook
Open MS Outlook and click on the MT button on the top toolbar. This will copy all emails in the Magnetic Time Outlook folder to MT. The email will be displayed in the Library viewing area in MT-Assist

Using Outlook Express
Open MT Assist. Click 'Import Outlook Express emails'. A standard pop up box will display, informing you that MT is trying to temporarily access Outlook Express for a period of time. Select the 'Allow access' for 10 minutes option to give you time to complete your selections. MT will then allow you to view & select eligible emails. Remember, any Outlook Express Rules (See: Outlook Express Rules below) you have setup may affect the selection of the emails listed. When your selections are complete, click 'OK' to import them to MT

How do I use Outlook Rules?
Use Outlook Rules to filter & sort the emails you want to be selected to your MagneticTime folder in Outlook. Outlook Rules are applied to each email received in your Outlook Inbox. There are three Rules options available:

  1. New - create a new rule
  2. Modify - modify the Conditions and /or Actions for an existing rule
  3. Remove - delete an existing rule

To Create a New Rule

Open MT-Assist and select the 'Outlook Rues' link from the Common Tasks menu. Select the New button to create a new rule. There are four sections to be specified on this dialog: Conditions, Actions, Rule Description and Rule Name.

Conditions
The Conditions section allows the user to specify the conditions under which the rule should be applied. A number of conditions may be set for one rule. There is one exception to this and that is the 'All Messages' condition - the default. If this is selected, no other condition may be chosen.

Actions
There are two possible actions that may be selected for each rule. It is mandatory to select at least one action.

Rule Description
The Rule Description table is populated depending on the Condition and Action specified. Values in the Rule Description may be specified by selecting the underlined text in the Rule Description table.

Rule Name
A name for the rule must be entered in this field.

When all four fields have been specified for the rule, select the OK button. The rule will be applied the next time an email is sent to your Outlook account.

How does MT select emails in Outlook?
During product installation, MT creates a folder in Outlook called MagneticTime.

MT selects emails by using a predefined set of rules which are applied when an email is received by your Inbox. You may add or change rules (use MT-Assist 'Settings') to identify which emails to be copied to the MagneticTime folder.

By default all unread emails in your Inbox will be copied to the MagneticTime folder.

How does the MT folder in Outlook work?
Emails in the MagneticTime folder may be processed into MT by clicking the MT icon on the Outlook toolbar or by selecting the 'Import Outlook Emails' link in MT.

After processing, all emails are deleted from the MagneticTime folder and appear in the normal way in your Deleted Items folder.

Note: As all emails in the MagneticTime folder are copies, your original email remains in your Inbox and is not affected.

How does MT work with email Attachments?
Note: MT is designed to work with MS Outlook/Express emails and Ms Word documents 'only'. Selecting other types of files will produce unpredictable results.

If an email arrives with a word attachment you wish to audioize, you can open the attachment, select the MT Button on the Word toolbar and export the attachment to MT.

Working with the library

The 'Library' is where you can View, Play or Device Export, items (emails, docs & news), that have been imported into MT.
The Library architecture, consciously takes its industry standard design cues from other mp3 software.

Displayed Information
Data Source
The origin of the data is displayed along with relevant information such as the email sender, subject, or the document name.

Date and Time
This is the date & time this record was imported into MT.

Options
To export an email, document or news item to the output device of your choice select the item for export in the Library viewing area and select the menu link icon for the relevant output device: Phone, PDA or iPod.

Clear
Tick the items you wish to remove, and then press Clear.

Arrange By
The Library information can be ordered by any of the following groupings:

Type - Word document or email
Date - The date sequence, most recent first
Show in Groups - where the information is grouped by Type or Date

How do I view my new Audioized item in MT?

Using MT-Assist, after an email, document or news item has been imported into MT it may be viewed in the viewing area of the Library section. The item can be played using the Mt Desktop Player and/or exported to the audio device(s) of your choice.

How do I listen to a item on my PC?

MT Desktop Player
To listen to an item (email, doc or news item) on the Desktop Player, select the checkbox for the item in the Library viewing area followed by the Play button. Or double click the item to be played. Select the Stop button to stop the document playing. To listen to another item, double click on the item and so on. Note: The Player will also work if an item is selected from the viewing area in the Queue section.

Listening to items using iTunes™
Once you have downloaded your items to iTunes (by pressing the iPod icon in MT-Assist) each item may be played from within iTunes, the same you would play any 'song'. Emails are stored in the MT-Emails playlist while Word documents are stored in the MT-Word playlist, News feeds are stored in the MT-Personal Newscaster playlist. Note: although you may move items in iTunes to other playlists etc, we recommend you leave MT items in their appropriate playlists for future reference and easy access.

How do I use the MT Desktop Player?
The MT Desktop Player is used to play emails, documents or news items that have been imported into MT. Open MT-Assist.

Play
You can play or listen to a document by either:

  1. Double clicking on the selected item in the Library list
  2. Ticking the items 'select' box then pressing the Play button (green triangle)

Stop

  1. To discontinue listening press the Pause button (two yellow lines)

Note: Sometimes there may be a 'stop' delay as the 'MT Translator' empties its buffer.

Slider:
The slider (orange bar) shows the playing progress

Working with the Notification Box

To change way the notification box works click on the 'Settings' button. This will bring up the settings window.

In the 'Personal Newscaster' section there is three options

  • Turn off Personal Newscaster notification box', putting a tick in this box means that the notification box will not appear.
  • 'Turn off Personal Newscaster notification voice', putting a tick in this box means that the notification item will not be played while the notification box is displayed.
  • 'Check news feeds (RSS) for updates every:' , select how often you want to check for news updates.

When the notification box is displayed there is a number of useful buttons on it.

The minimize and close buttons. If you minimize the notification box the player is paused if it is playing the notification item.

The maximize and close buttons. If the notification box is minimized the maximize button will be visible.

The pause button will pause the notification box.

When the notification box is paused the play button will be visible.

Next item button, will close the current notification item, and move onto the next item.

Replay item button, will replay the current notification item.

Notification box settings, this will open the settings window for the notification box.

The start of the text on the notification box will be blue and under lined, this means that you can click on this web link to read more. This will open our web browser and display the web page for the notification item.

Working with the Queue

The 'Queue' is where you can view MT work carried out or in progress.

Displayed Information

Data Source
The origin of the data is displayed along with relevant information such as the email sender and subject, or the document name.

Date and Time
This is the date & time this record was processed by MT.

Queue Status
The data in the Queue goes through the following stages

  1. Queued - work awaiting processing
  2. Running - work in progress
  3. Successful - work completed

Options

Clear Finished
Take this option to clear the Queue viewing area of work which has been completed including Successful & Fail items.

Arrange By
The Queue information can be ordered by any of the following groupings:
Type - Word document, email, or news item
Date - The date sequence, most recent first
Device - iPod, PDA or Mobile Phone (availability is dependent on products purchased)
Show in Groups - where the information is grouped by Type, Date or Device

Exporting

How do I export items to an audio device?
MT allows you to export an item to an audio device(s) of your choice in mp3 format. To do this, simply select the item (by ticking the box or boxes) in the viewing area of the Library and select the Icon for the output device of your choice. The item will be exported to the pre-defined location for that device.

Can I export the same item to more than one audio device?
Yes, MT allows you to export an item to one or more output devices of your choice. Note: the ability to export depends on the products purchased.

Exporting to iTune

Note: The ability to use the following option is dependent on you having purchased the MT-iPod product.

Open MT Assist and select the Library button from the top menu to display Documents, emails, and new items that have previously been imported into MT. Tick the boxes to select the items you wish to export to your iPod and click the iPod icon. To see work in progress, select the Queue button. When the items have been exported successfully, the Queue Status will change to 'Successful'. Should the Status show 'Fail' see the application 'Help' for possible reasons. During the process MT will launch iTunes. Once the MT export has completed, you can view your work in iTunes. Emails will appear in the 'MT-Email' playlist and while Word docs appear in the 'MT-Docs' playlist.

Note: The ability to use the following option is dependent on you having purchased the MT-PDA product.

Open MT Assist and select the Library button from the top menu to display Documents emails, and new items that have previously been imported into MT. Tick the boxes to select the items you wish to export to your PDA and click the PDA icon. To see work in progress, select the Queue button. When the items have been exported successfully, the Queue Status will change to 'Successful'. Should the Status show 'Fail' see the application 'Help' for possible reasons.

Most PDA's are seen by Windows as 'External Storage Devices' or Mass Storage Devices'. Refer to the setups & settings for your particular PDA to determine how best to export your MT Summary file.

Note: As MT items use the mp3 format, they are usually seen as songs by your PDA audio player. You may not need to manually intervene if the folder you specified above sends the information directly to your device during your PDA 'Synchronize' process.

Note: The ability to use the following option is dependent on you having purchased the MT-Phone product.

Open MT Assist and select the Library button from the top menu to display Documents emails, and new items that have previously been imported into MT. Tick the boxes to select the items you wish to export to your iPod and click the iPod icon. To see work in progress, select the Queue button. When the items have been exported successfully, the Queue Status will change to 'Successful'. Should the Status show 'Fail' see the application 'Help' for possible reasons.

When connected to your PC, most Cell/Mobile phones are seen by Windows as 'External Storage Devices' or Mass Storage Devices'. Refer to the setups & settings for your particular phone to determine how best to export your MT Summary file.

Note: As MT items use the mp3 format, they are usually seen as songs by your Phone's audio player. You may not need to manually intervene if the folder you specified above sends the information directly to your device during your Phone 'Synchronize' process.

MT1 Settings

You need never change any 'Settings' as MT supplies you with what you need to get going out of the box. If you would like to personalize any settings, the 'Settings' option allows you to do this.

Options

General

  • Select this option to configure MT to run when Windows starts, to create a log file and to select the voice for the MT Desktop Player.
  • If you have Outlook and Outlook Express install you can select which one to work with.
  • Configure your Personal Newscaster

News Feeds
We have added a number of news feeds that you can select from the different groups. If you want to add your own news feed, select the 'Custom Feeds' group, click 'add' then enter the url of your custom feed.

Devices
Use this option to tailor your device exports. You can specify the output folder, output file type, quality (file size) and voice for each of the output devices you purchased.

Summary Rules
Want to listen to part of a large email, word document, or news item but don't have the time or space to listen to it all? Simply use the Summary Rules option to create rules to summarize documents & emails. This will condense the document or email before it is processed by MT, prior to export to an audio device.

Tips & Tricks

Using the power of Summary Rules
Summary Rules allow you to condense an item (document, email, or new item) before it has been exported to an audio device. This is a very useful feature when importing large documents or emails.

Summary Rules may be created for Word documents, Outlook, Outlook Express emails and Personal Newscaster.

To Create a Summary Rule for Word documents
Open MT-Assist and select the Settings button. Select the Word option under the Summary Rules tree. Select one or more Summary Rules from the Summary Rules section. Summary Rules may be created for Word documents, Outlook, Outlook Express emails and Personal Newscaster.

The Rule Description table is populated depending on the Summary Rule options that have been checked. Values in the Summary Rule Description may be specified by selecting the underlined text.

To Create a Summary Rule for Outlook
Open MT and select the Settings button. Select the Outlook option under the Summary Rules tree. Select one or more Summary Rules from the Summary Rules section.

The Rule Description table is populated depending on the Summary Rule options that have been checked. Values in the Summary Rule Description may be specified by selecting the underlined text.

Why do exported MT Folder items end up in the Deleted Items folder?
Outlook - When you choose to import and move your emails to MT, (from the Outlook 'MagneticTime folder' ), Outlook uses the standard deletion process for recording the action, (as it would, say ,if you deleted an email from your Inbox) by placing these emails in the 'Deleted Items' folder. Note: the original email in your Inbox is not affected.
